When you open Web Phone on the portal, the dialer interface slides out to provide quick access to calling tools, company directories, and personal contacts. During an active conversation, the panel transitions into the in-call command screen with call management controls.
1. Web Phone Layout & Navigation Tabs
Web Phone organizes calling functionality into three primary tabs:
Tab 1: Dialpad (Outbound Calling)
The default view for placing outbound voice calls.

Caller ID Selector: Choose the outbound identity displayed to the receiving party:
- Myself: Your personal direct dial (DID) or extension outbound number.
- Delegate: Call on behalf of another user (if delegation is authorized by an Admin).
- Inbox: Call using a shared team or customer support inbox number.
- Forward: Used when routing calls through a forwarding number.

Number Input Field: Enter external phone numbers, internal extension keys (3–5 digits), or feature access shortcodes (supporting non-E.164 characters such as
+,*, and#). - Dialpad Grid: Standard 12-key telephone keypad for manual digit entry. Pasted numbers are automatically normalized, stripping unwanted dashes, spaces, and punctuation.
- Call Button: Initiates the outgoing call.
- Recording Status Indicator: If call recording is enabled for your extension, a recording badge appears in the dialpad area to confirm active call recording.

Note: Internal extension-to-extension calls do not require a pre-configured outbound Caller ID. External calls to public telephone networks require an outbound number assigned by your Admin.
Tab 2: Extensions Directory
Enables direct internal communication across your organization.
- Search Field: Locate colleagues by typing their name or extension number.
- Connected Organization Filter: If your company is linked to partner organizations with Shared Directory permissions enabled, an organization dropdown filter appears at the top. If no external directories are shared, this filter is automatically hidden and only your internal directory is shown.
- One-Click Calling: Click any user entry in the list to dial their extension immediately.
Tab 3: Contacts
Provides access to your personal cloud contacts.
- Contacts List: Search and call contacts stored in your Phone System address book.
- Manage Button (Gear Icon): Click the gear icon to open the contact management interface, where you can add, edit, or remove personal contact entries.
2. Active In-Call Screen & Command Buttons
When an outgoing or incoming call is in progress, the Web Phone panel updates with real-time call telemetry and control buttons:
Real-Time Call Telemetry

Call Status:
- Connecting: The system is establishing the call session.
- Connected: The two-way audio session is established and active.
- On Hold: The call is currently paused on hold.
- Contact Name / Number: Displays the recipient's saved contact name (if present in Contacts or Directory) or the raw dialed number / extension.

Current Call Duration: Real-time call timer displaying elapsed duration (
MM:SS). - Recording Indicator: Confirms that the ongoing conversation is being recorded (if enabled by Admin policy).

In-Call Command Buttons

| Hold | Pause / Hold icon | Places the caller on hold (the caller hears your organization's hold music). Click again to take the caller off hold and resume conversation. |
| Mute | Microphone icon | Mutes your local microphone so the other party cannot hear you. Click again to unmute. |
| Keypad (Dialpad) | 3×4 Keypad icon | Opens the in-call touch-tone dialpad to send DTMF tones (e.g., entering numerical options in an interactive voice response [IVR] menu or phone tree). |
| Call Transfer | Transfer arrow icon | Transfers the live call to another party. Supports transferring to an Extension Key (internal user) or an external Phone Number. |
| End | Red receiver icon | Terminates and disconnects the active call. |
Key Difference — Keypad vs. Call Transfer: The Keypad button is strictly for entering DTMF tones during an active call (such as navigating an automated phone tree). To transfer a call to another person or extension, use the dedicated Call Transfer button.
3. Incoming Call Screen
When a call rings your Web Phone:
- Caller Details: Displays the inbound caller ID number and matching contact name (if recognized).
- Answer (Green): Connects the incoming voice call.
- Decline / End (Red): Rejects the call, routing the caller according to your extension's call forwarding or voicemail rules.
